This privacy notice applies to our use of any and all Data collected by us or provided by you in relation to your use of this Website.

Maths4Everyone is committed to protecting and respecting your privacy.

Our data privacy principles

  1. We will collect the minimum personal information required to make your use of this Website beneficial, enjoyable and easy, whilst still permitting us to meet our objectives and fulfil our contractual obligations.
  2. We will always be clear and transparent about how we process your Data.
  3. We will implement technical and other necessary measures to ensure that your Data is safe and secure at all times.
  4. We will never, in any circumstances, sell your Data.
  5. We will respect your rights regarding your Data and the way it is processed.

Definitions and interpretation

In this privacy notice, the following definitions are used:

collectively all information that you submit to Maths4Everyone via the Website. This definition incorporates, where applicable, the definitions provided in the Data Protection Laws;

this is Data that is required for setting up an account or for maintaining the preferences of Users. It includes Name, password and opt-in preferences;

Class Data

this is Data that identifies a class (a group of students) and the Users that are members of the class;

Results Data

this is Data that is collected automatically whenever a User completes a quiz or other activity. It includes summary Data for accuracy, speed and number of attempts;

a small text file placed on your computer by the Website when you visit certain parts of the Website and/or when you use certain features of the Website. Details of the cookies used by this Website are set out in the clause near the end of this document (Cookies);

Account Manager

this is either the User, or it is the parent or teacher who has set up the account and has the ability to update details such as school stage and password;

Class Manager

this is a teacher, parent or tutor who has administrative responsibility for a class and is able to view Results Data of students who are members of the class; and

Website

the website that you are currently using, www.maths4everyone.com, and any sub-domains of this site unless expressly excluded by their own terms and conditions.

In this privacy notice, unless the context requires a different interpretation:

  1. the singular include the plural and vice versa;
  2. references to sub-clauses, clauses, schedules or appendices are to sub-clauses, clauses, schedules or appendices of this privacy notice;
  3. a reference to a person includes firms, companies, government entities, trusts and partnerships;
  4. "including" is understood to mean "including without limitation"; "includes" is understood to mean "includes without limitation";
  5. reference to any statutory provision includes any modification or amendment of it;

Scope of this privacy notice

This privacy notice applies only to the actions of Maths4Everyone and Users with respect to this Website. It does not extend to any websites that can be accessed from this Website including, but not limited to, any links we may provide to social media websites.

For the purposes of the applicable Data Protection Laws, Maths4Everyone is the "data controller". This means that Maths4Everyone determines the purposes for which, and the manner in which, your Data is processed.

Data collected

We may collect the following Data, which includes personal Data, from you:

For the purpose of delivering the service:

  1. first name and last name (to identify you);
  2. a password (to protect your account from access by others);
  3. e-mail address (to communicate with you);
  4. your school stage (to present you with appropriate topic and activity suggestions);
  5. your role as either student, parent, teacher or tutor (to provide you with appropriate functionality);
  6. usage data (which is automatically collected) in terms of questions completed and summative scores for quizzes and other activities (to present information on progress and attainment);
  7. messages that you send via e-mail or via our contact form (so that we can respond appropriately);
  8. your consents and preferences (so we know whether you have agreed to receiving our newsletters);
  9. if a teacher, your school and educational establishment details (so we can verify that you are a teacher).

For the purpose of security and monitoring use of the Website:

  1. IP address (automatically collected);
  2. web browser type and version (automatically collected);
  3. operating system (automatically collected);

in each case, in accordance with this privacy notice.

We will accept a pseudonym in place of your first name and last name, but the e-mail address must be valid and accessible by you in order for you to complete the registration process.

How we collect Data

We collect data in the following ways:

  1. data is given to us by you;
  2. data is provided to us by a parent or a teacher;
  3. data is collected automatically.

Data that is given to us by you:

Maths4Everyone will collect your data in a number of ways, for example:

  1. when you register with us and set up an account;
  2. when you contact us through the Website, through e-mail or through any other means;
  3. when you select to receive marketing communications and/or newsletters from us;

in each case, in accordance with this privacy notice.

Data that is provided to us by a parent or a teacher:

If a parent or a teacher has created an account for you to use, they will have provided us with a name and a password. The name may be your real name or a pseudonym. They may also provide a screen name which may be different to both your real name and/or pseudonym.

Data that is collected automatically:

To the extents that you access the Website, we will collect your Data automatically, for example:

  1. we automatically collect some information about your visit to the Website. This information helps us to keep the Website secure and to make improvements to Website content and navigation, and includes your IP address, and the date and times which you access the Website.
  2. we automatically collect information about the quizzes and other activities that you complete. This information enables us to produce statistics to help determine the level at which you are working and to display summative results Data for you, your parents, tutors and teachers.

Our use of Data

Any or all of the above data may be required by us from time to time in order to provide you with the best possible service and experience when using our Website. Specifically, Data may be used by us for the following reasons:

  1. account set up and administration;
  2. personalisation of content;
  3. legal obligations (e.g. for prevention of fraud, or to respond to any enquiries or subject access requests you may have);
  4. to notify you of any change to service or to policies;
  5. to keep the Website safe and secure;
  6. to ensure that content from the Website is presented in the most effective manner for you and for your computer or device; 
  7. transmission by e-mail of newsletters to notify you about changes, improvements, and upgrades to the Website;
  8. to provide you, your parents and/or teachers with information about your current level of work and progress;

in each case, in accordance with this privacy notice.

We may use your Data for the above purposes if we deem it necessary to do so for our legitimate interests. In some cases your Data will be processed in order to fulfil the contract between us and the parent or teacher who created your account.

If you are not satisfied with the way that we will use your Data, you have the right to object in certain circumstances (see the section headed "Your rights" below).

Before we send you newsletters via e-mail, we will ask for your explicit consent via an opt-in; that is, you will need to take positive and affirmative action when consenting by, for example, checking a tick box that we will provide.

If you have consented to receiving newsletters you have the right to withdraw your consent at any time.

Who can access what data

The three categories of data that can be accessed by Users are Account Data, Class Data and Results Data.

If you have set up your account yourself, or have opted to take control of your account then your Account Data can only be seen and managed by you. Otherwise your Account Data can be seen and managed by the individual who set up your account for you (the Account Manager) and you will only be able to see, but not manage your Account Data.

Class Data can be seen and managed by the teacher or parent who has set up the class, or by the teacher or tutor who has listed you in their class at the request of and with the permission of your Account Manager. Being a member of a class does not allow a Class Manager access to your Account Data unless the Class Manager is also your Account Manager.

Results Data can be seen by you and by any Class Manager whose class you are listed in (note that you can only be listed in a class at the request of and with the permission of your Account Manager).

If you are your own Account Manager then you have control of what classes you are listed in and therefore of who can view your Results Data. You can also choose to opt-out of a class at any time.

If you did not set up your account yourself then you will automatically be listed in at least one class belonging to your Account Manager. If you wish to opt-in or opt-out of other classes, then you can only do this by sending an appropriate request to your Account Manager. Your Account Manager cannot add you to, or remove you from, classes managed by another User unless you have made such a request.

Leaderboards:

If your points for a particular activity, or your cumulative points for a set of activities, are sufficiently high, your score will automatically be listed on the appropriate leaderboard if such a leaderboard exists. All leaderboards are accessible to all logged in Users and will display the top results in descending order. Leaderboards will not display the identity of the Users who have achieved the scores unless the User is their own Account Manager and they have given explicit consent for their identity to be displayed. Where this explicit consent has been given, it is the Screen Name and not the First Name or Last Name that will be displayed. Users can withdraw their consent at any time after which their identity will be removed from all relevant leaderboards.

Who we share Data with

We may share your Data with the following groups of people for the following reasons:

  1. any of the administrators of one of our other websites – so that you can use the same account across all of our sites;
  2. our employees, agents and/or professional advisors – so that they can help implement the service and offer appropriate support to users;
  3. third party payment providers who process payments made over the Website – so that subscription payments and/or other payments can be processed;

in each case, in accordance with this privacy notice.

Keeping Data secure

We will use technical and organisational measures to safeguard your Data, for example:

  1. access to your account is controlled by a password and a user ID that is unique to you;
  2. we store your Data on secure servers within the UK;
  3. all traffic and passwords are encrypted.

Data retention

Unless a longer retention period is required or permitted by law, we will only hold your Data on our systems for the period that you are an active user on one of our sites or until you request that your Data be deleted.

If you have not logged into one of our sites for 24 months you will no longer be considered an active user and we will securely delete your Data.

Even if we delete your Data, it may persist on backup or archival media for legal, tax or regulatory purposes.

Maths4Everyone may, from time to time, expand or reduce their business and this may involve the sale and/or the transfer of control of all or part of Maths4Everyone. Data provided by Users will, where it is relevant to any part of our business so transferred, be transferred along with that part and the new owner or newly controlling party will, under the terms of this privacy notice, be permitted to use the Data for the purposes for which it was originally supplied to us.

We may also disclose Data to a prospective purchaser of our business or any part of it.

This Website may request to place and access certain Cookies on your computer. Cookies placed on your computer by this Website will aim to provide a better experience and service to you. Any changes will be immediately posted on the Website and you are deemed to have accepted the terms of the updated privacy notice on your first use of the Website following the alterations.

A note for teachers

Maths4Everyone assumes that prior to registering for a teacher account you have secured all the necessary consents from your school and that your school is fully conversant with your activities. If it becomes known to us that your use of this Website is not in accordance with this clause we reserve the right to suspend or remove your access to this Website.

When you register for a teacher account you will be asked to provide the name and post code of your school. If you have registered using an e-mail address which is associated with your school's domain name, we might be able to verify your teacher account quickly, otherwise we will need to contact a member of your school's admin department, or someone else within the school who is able to verify that you are a teacher.

We will make these requests by sending an e-mail to the address which you used to register your account.
